Tap-to-pay readers and phone-based membership cards are two different problems that often get bundled into one vendor conversation. SwipeTrack, sometimes discussed alongside the Xtrulink name, is one of the vendors that comes up when organizations shop for card readers and check-in tools. Whether any vendor like that is a good fit for an Altru site comes down to one question: where does the data end up, and does Altru know about it?
We don’t build or resell SwipeTrack, and we can’t vouch for how any specific version of it connects to Altru. What follows is how an Altru administrator should evaluate a contactless payment or digital membership tool, SwipeTrack or otherwise, before signing anything.
Separate the two jobs
Contactless payments and digital membership cards sound related, but in Altru they touch very different parts of the database.
- Contactless payments are about card processing. In Altru, payments are tied to your merchant account and payment processor configuration. A tap or mobile wallet payment still has to land as revenue in Altru, attached to the right sale, so daily sales, batches, and reconciliation stay intact.
- Digital membership cards are about identity. The card has to carry something that points back to a membership in Altru (usually a lookup ID or barcode value) so staff can confirm status at the door.
A vendor can be good at one and weak at the other. Ask about each separately.
Questions to ask about payments
- Does the payment post to Altru, or only to the vendor’s system? If transactions live in a separate system and you reconcile later, you have created a second set of books. Finance will notice at month end.
- Which processor does it use? Altru works with specific payment processors. A reader that requires a different merchant account means fees, deposits, and refunds run through two places. Confirm with Blackbaud which processors and devices your Altru setup supports before assuming a reader will work.
- How are refunds and voids handled? If a refund happens in the vendor tool, does Altru reflect it? Test this specifically, because it is the step most often left out of demos.
- What happens offline? If Wi-Fi drops at the admissions desk, does the device queue payments, decline them, or fall back to something else?
Questions to ask about digital membership
- What identifier is on the card? It should be a value that already exists on the Altru membership or constituent record, not a new ID the vendor generates. A new ID means a mapping table someone has to maintain.
- How does the card learn about renewals? When a member renews or upgrades in Altru, how quickly does the card show the new expiration date and level? If the answer involves a nightly file export, find out who runs it and what happens when it fails.
- How are cards delivered? Apple Wallet and Google Wallet passes are the format members actually keep. A PDF or emailed image is easier to build but gets lost in inboxes.
- Can your existing scanners read it? If the card’s barcode doesn’t scan on the devices you use for Altru tickets and memberships, staff will end up typing names into a search box.
Watch for the parallel database
The most common problem with add-on tools is not that they fail. It is that they quietly become a second place where member and payment data lives. Signs to look for:
- Staff look up members in the vendor tool instead of Altru because it is faster.
- Membership status differs between the card and the Altru record.
- Someone exports a query from Altru every week to keep the other system current.
- Revenue totals in the vendor dashboard don’t match your Altru reports.
Any of these means you are maintaining two databases. That might be acceptable for a short pilot, but it rarely holds up for a full membership year.
How to test before committing
Run a small pilot with real but limited data. Process a handful of contactless payments, including one refund, and check that each appears correctly in Altru revenue and in the right batch. Issue digital cards to a few staff who are also members, then renew one of those memberships in Altru and see how long the card takes to reflect it. Scan each card at the door on your normal equipment.
If the vendor can’t support a pilot like this, or the only answer to “how does it sync with Altru” is a spreadsheet, treat that as your answer.
Where Social Good fits
On the membership side, our Digital Membership Cards provide Apple Wallet and Google Wallet membership cards for Altru members. If you are comparing options, ask us the same questions above.
Quick answers
Does Altru accept Apple Pay or Google Pay at the desk on its own?
That depends on your processor and hardware, and it changes over time. Ask Blackbaud support what your current configuration supports before adding another vendor.
Do I need one vendor for both payments and cards?
No. Many organizations handle payments through their Altru processor and add digital cards separately. One vendor is only simpler if it actually does both jobs well.
