Showing Member Photos in Altru Daily Sales: What Works at the Desk

October 31, 2026

A member walks up with a card that says “Dual Household,” two adults, and no ID. The cashier finds the record in Daily Sales, sees two names, and has to decide in a few seconds whether the person standing there is one of them. A photo on the screen would settle it. Without one, staff either wave people through or start an awkward conversation.

That moment is the whole case for seeing constituent photos in Daily Sales. Below is a candid look at where Altru stands, what you can set up now, and how to verify members reliably even if a photo never appears on the sales screen.

Can Altru show a member’s photo in Daily Sales?

Not in the way most front desks picture it. In our experience, Daily Sales is built for speed: look up the constituent, see their membership, apply benefits, take payment. It doesn’t display a portrait of the member alongside the membership details as a standard part of that screen.

Altru versions and configurations change, so don’t take our word as final. Before you plan around this, confirm two things with Blackbaud support or in a sandbox:

  • Whether your constituent records can hold a photo or image file (for example, as an attachment or media item on the record) in your current release.
  • Whether anything stored on the constituent record can be surfaced to cashiers inside the Daily Sales workflow, or only on the full constituent page.

The answers decide whether you’re working on a “photo one click away” process or a “no photo, better verification” process.

Option 1: Keep the photo on the constituent record and teach a lookup habit

If you can attach an image to a constituent record, the photo won’t sit on the Daily Sales screen, but it can still be reachable. The workable version of this looks like:

  1. Decide when photos get collected. At joining, at first visit, or at card pickup. Pick one moment so the collection actually happens.
  2. Use a consistent file name and description (for example, the member’s name and the year taken), so staff can tell which image is current and which is from five years ago.
  3. Train cashiers to open the constituent record only when something feels off: no card, a name that doesn’t match, a membership that’s being used unusually often. Checking every member this way will slow your line, so treat it as an exception path.
  4. Set a retake rule. Kids’ photos go stale quickly. Some organizations refresh photos at each renewal; others only when a staff member flags one.

Give staff permission to view the record but not edit sensitive fields, and test that the attachment opens on the actual front-desk hardware. A photo that only loads on an office PC doesn’t help at the register.

Option 2: Put the verification on the card instead of the screen

Many organizations solve this without the sales screen at all. If the member’s photo is printed on the membership card, the cashier compares the card to the person, and Daily Sales only needs to confirm the membership is active. That shifts the work to card production: you need a way to capture photos, print or produce photo cards, and reissue them when a household changes.

Whether Altru’s own card printing can include a photo depends on your setup, so check before you commit. Some organizations handle photo cards outside Altru and keep Altru as the source for membership status.

Option 3: Verify without a photo

Photos are one way to stop membership sharing, but not the only one. These often catch the same problems with less overhead:

  • Name the cardholders. Membership levels that list specific named adults (rather than “plus one guest”) give cashiers something concrete to check against a photo ID.
  • Ask a light question. “Can I get the last name on the membership?” or a ZIP code is quick and polite, and a borrower often won’t know the answer.
  • Watch usage, not faces. If your setup records member check-ins, a query of visits by membership can show cards used at unusual frequency or at overlapping times. That’s a better use of staff time than eyeballing everyone.
  • Use notes or alerts on the record for known issues, so the next cashier sees context instead of starting over.

Things to settle before collecting photos

Photos of members, especially children, are personal data. Before you start, decide who can view them, how long you keep them after a membership lapses, and what you’ll tell members when you take the picture. Put that in your privacy policy and your staff training. It’s much easier to set the rule up front than to clean up years of images later.

Also check storage. Image files add up across thousands of households, so ask Blackbaud whether attachments count toward any storage limits on your hosted database.

Quick answers

Is there a setting that turns on photos in Daily Sales?
We’re not aware of one. Confirm with Blackbaud support for your release, and ask specifically about the Daily Sales screen, not just the constituent record.

What’s the fastest fix if membership sharing is the real problem?
Named cardholders plus a quick ID or last-name check. It needs no new data collection and works the same at every register.

“How many classes did Maria teach last spring, and which ones?” It sounds like a question Altru should answer in ten seconds.
