How to Send Altru Members a Direct Membership Renewal Link

August 22, 2026

A renewal email works best when the member clicks once and lands on their renewal, with their name, level, and expiration already showing. The weak version is a link to a general membership page where they have to pick a level again, re-type their address, and hope the payment attaches to the right record. That second version is where renewals tend to stall and where duplicate records tend to start.

So the question is really two questions: what link can you send from Altru today, and how close can you get to a link that knows who the member is?

The link you can send today

The membership web forms you publish from Altru give you a public URL for joining or renewing online. That URL is the same for everyone. On its own it doesn’t carry the member’s identity, so the form has to work out who is renewing, typically by asking them to sign in or by having them enter their details and matching them to an existing record. How your forms handle that depends on how they’re configured, so confirm it on your own forms.

That is a reasonable starting point. A few things make it work better:

  • Link to the renewal form, not the join form or the membership landing page. If you have separate forms, the renewal one should be the destination for every renewal notice. Fewer clicks, fewer people choosing the wrong level.
  • Put the member’s details in the email itself. Use the email or letter merge to show their current level, expiration date, and lookup ID right above the button. Even if the form doesn’t know them, the member does, and they’ll pick the right level.
  • Tell them which email address to use. If sign-in or matching depends on email, say so: “Use the address this message was sent to.” That one sentence prevents a surprising number of duplicate constituents.

Can the link be personalized?

This is where you should test rather than assume. Whether an Altru web form will accept a member identifier in the URL and pre-load that member’s renewal isn’t something we’d promise as standard behavior. Before you build a campaign around it:

  1. Copy the renewal form URL and look at what parameters it already uses.
  2. Ask Blackbaud support whether the form supports pre-filling a specific constituent or membership from the link, and how authentication is handled.
  3. Try it with a staff test record (never a real member) and confirm the transaction lands on the existing membership as a renewal, not as a new membership on a new constituent.

Be careful with any approach that puts identifying information in a plain URL. Links get forwarded. A renewal link that opens someone’s address and phone number for whoever clicks it is a privacy problem, not a convenience. A personalized link should identify the member enough to start the renewal, and still require something before it shows or changes personal details.

Building the send list

Whatever link you end up with, the list behind it matters as much as the link. Build a membership query that pulls:

  • Memberships expiring in the window you’re targeting (for example, the next 30, 60, or 90 days), plus recently lapsed members you still want back.
  • The primary member’s name and email, membership program, level, and expiration date.
  • The constituent lookup ID, so staff can find the record fast if someone calls.

Exclude anyone who has already renewed for the next term, and anyone with a pending renewal you processed by phone or at the desk. Nothing undermines a renewal campaign faster than “I already paid” replies. Running the query fresh right before each send, instead of exporting once a month, is the simplest way to avoid that.

Households and gift memberships

Send the renewal to whoever pays, not just whoever holds the card. For household memberships, decide whether the notice goes to the primary member only. For gift memberships, the giver usually renews, so the query needs to reach the purchaser’s record, not the recipient’s. If your query can’t separate those cleanly, handle gift renewals as a small, separate list.

After the click

Check the first week of renewals that come in from each send:

  • Did the payment attach to the existing membership, or create a new one?
  • Did any new constituent records appear for people who were already members? If so, run a duplicate check and look at what they typed differently.
  • Did the new expiration date match what your renewal email promised?

Those three checks tell you whether your link is doing its job or quietly creating cleanup work.

A link that already knows the member

If the generic form keeps producing duplicates or abandoned renewals, this is the gap Social Good’s Membership Portal is built for. Members sign in, see their current status and expiration from live Altru data, and renew, upgrade, or update their profile online. Your renewal email then links to one place, and the member lands on their own membership instead of a blank form.

“How many classes did Maria teach last spring, and which ones?” It sounds like a question Altru should answer in ten seconds.
